General Purpose of the Role
As an HR Administration Officer, your main role is to ensure a smooth and positive pre-boarding, on-boarding and off-boarding experience for all seasonal employees. By holding this position, you understand that your contribution is vital to the general employee experience we want our colleagues to feel from the first moment they interact with Sani/Ikos Group. You are undoubtedly an ambassador of the service excellence we want to provide to our colleagues so that they feel they are valued, well treated and looked after.
Your main responsibilities
- Request Job Offer acceptances of candidates from HR Coordinator to start the creation of the employees’ folders
- Liaise with local authorities to organize in a timely and well-organized manner the hiring of foreign employees (professional and students)
- Request all necessary hiring documents from future seasonal employees
- Upload registration of new hires in HRM system (Pylon)
- Keep regular contact with new hires and repeaters to update any pending documents
- Collaborate closely with the HR Coordinator to organize the arrival of seasonal employees (date & time)
- Collect signed contracts, GDPR compliance forms from seasonal employees & training attendance declarations from each student
- Coordinate employee onboarding and help organize training modules & development initiatives
- Upload confirmed registrations of active employees in HRM system (Pylon) and Ergani
- Create Timer Cards for all new joiners and distribute old timer cards to repeaters
- Manage termination paperwork and procedures (dismissal certificates, exit lists etc.) and proceed with submission of dismissals in Ergani system
- Assist employees to file their re-hiring applications for next season
- Manage administration paperwork in case of resignations
- Organize exit procedure in terms of the unemployment benefits process and send to OAED so as for every seasonal employee to be able to receive unemployment allowance
- Organize Labor Doctor’s Visits during the season
- Inform payroll team about sickness leaves
- Upload Weekly Schedules & Work Accidents in Ergani
