ReceptionistOffice Assistant (Short-term Contract Maternity Cover)

Job Description
• Answer calls, in a courteous and professional manner, prioritizing as appropriate
• Providing assistance and information to callers, re‐direct calls as appropriate, take and relay adequate messages when required
• Greet all visitors such as clients, candidates, delivery persons, maintenance workers, etc
• Ensuring proper security is in place for all guests
• Book meeting rooms and ensure their logistics including general set up/clean‐up of rooms, catering requests, liaising with Technology Services for audio and video conferencing requests
• Handle incoming and outgoing mail and packages, copy/binding requests and large mailings
• Book cars, couriers, hotels and catering as requested, ensuring requests are properly recorded and allocated to the appropriate cost code
• Process any local Office Services purchases, checking accuracy and coding all Office Services
• Related bills prior to passing on for payment
• Ensure that internal employees get everything they need such as general supplies, etc. providing a safe, clean, and secure working environment always and escalating to the Office Services Manager when appropriate
• Support local language communications (e.g. public authorities, landlord and local vendors)
• In line with MMC H&S governance, ensure compliance with all aspects of Health & Safety and assist with Risk assessments, first aid, fire regulations and training if applicable

Απαραίτητα Προσόντα

Candidate Profile
• Experience in professional services industry preferred, but not required
• Excellent verbal and written communication skills and able to deal with people at all levels across a multicultural environment
• Team player who has experience of and has enjoyed working as part of a team
• Customer service focused – dedicated to meeting the expectations of all staff through securing effective relationships with clients and executing deliverables to the highest standards
• Ability to multitask, prioritise and manage one’s own time. Not a clock watcher or someone who is unwilling to step outside the job description
• Self‐starter who has an appetite for learning and is driven to excel and grow
• One who takes constructive feedback in stride and incorporates feedback quickly
• Ability to maintain and respect confidentiality, Attention to detail and stickler for accuracy. Flexible attitude, hard‐working and results driven
• Technical skills: Good Word, PowerPoint and Excel skills, working knowledge of Outlook
• Very good written and oral English skills
